A Lead Comes In. Then What?
A lead comes in.
Then what happens?
In most businesses between $500K and $5M, the answer isn’t a system.
It depends on who saw it first – what else was happening that day, whether the owner was in a meeting, whether someone meant to follow up later.
And that’s the real issue.
The gap between interest and action is where most revenue quietly disappears.
The Inbound Hand-Off Problem
This is the inbound hand-off problem and it shows up everywhere in mid-market businesses.
A potential customer raises their hand. They download something, fill out a form, or reply to an email.
Clear intent exists.
But what happens next is completely inconsistent.
Sometimes the response is fast. Often, nobody agrees on who owns it — so the lead moves around internally before anyone actually responds.
Not because the lead wasn’t good. Because no one defined the process.

Where Revenue Actually Leaks
In most $1M–$5M companies, no standard journey exists from “interest” to “conversation.”
Instead, effort varies depending on availability. And that creates leakage that’s hard to see but very real in impact.
The fix isn’t complexity. It’s agreement.
Five Agreements Every Business Needs
Response time – every inbound lead gets a response within a defined window. Not “ASAP.” A specific number, measured in hours, not intent.
Handoff protocol – when a lead moves from marketing to sales, or from first responder to closer, context must transfer. A name is not a handoff. Context is.
Follow-up cadence – after first contact, define what happens next and when. If no response comes within that window, it should surface automatically.
Proposal trigger – define what actually qualifies a lead for a proposal. Interest alone isn’t enough. Timing and budget clarity are usually the real threshold.
Inconsistency Is the Real Conversion Killer
Without these agreements, every lead enters a slightly different experience depending on who touches it first.
Here’s the uncomfortable truth:
Your best leads don’t usually tell you they’re leaving. They simply stop responding to the follow-up that never arrived on time.
